vMic Quick Start Guide

vMic lets you use your phone as a microphone and type directly into the text field on your computer. You can use it in your EHR, Word, email, browser forms, or any place where you can click and type.

Think of it this way:

– Your phone listens.

– Your Mac or Windows receiver types.

– Your VoiceboxMD account pairs them securely.

Before You Start #

You need:

– The vMic app on your iPhone.

– The vMic Receiver on your Mac or Windows computer.

– Your VoiceboxMD email and password.

– Internet on both devices.

Pair Your Phone With Your Computer #

Pairing is automatic. You do not need a code, QR scan, or IP address.

1. Open the vMic Receiver on your Mac or Windows (1 device) computer.

2. Sign in with your VoiceboxMD account.

3. Open the vMic app on your phone.

4. Sign in with the same VoiceboxMD account.

5. Wait for both devices to show that they are connected.

What the Status Dot Means #

The receiver uses a small status dot.

Green or cyan means the receiver is listening and ready.

Gray means it is signed in but waiting.

Amber means it needs attention or is reconnecting.

Moving Around EHR Fields #

You can move through many EHR forms without touching the keyboard.

Say:

– “next field” to move to the next box.

– “next tab” to move to the next box.

– “previous field” to go back one box.

– “previous tab” to go back one box.

– “clear field” to erase the current field.

Quick Buttons on the Phone #

The phone app also has simple buttons for common actions.

Undo removes the last dictated word or phrase.

New line moves to the next line.

The phone is not meant to be a document editor. It is your microphone and control surface. The final text goes into the desktop field you selected.

Using vMic on Mac #

1. Install and open vMic Receiver.

2. Sign in with your VoiceboxMD account.

3. Allow Accessibility permission if macOS asks.

4. Keep the receiver running in the menu bar.

5. Open the phone app and sign in with the same account.

6. Click into your EHR or document field and start dictating.

Mac permission note:

macOS may ask for Accessibility permission so vMic can type into other apps. This is expected. If dictation starts but no text appears, open System Settings, go to Privacy & Security, then Accessibility, and make sure vMic Receiver is enabled. After changing this setting, quit and reopen the receiver.

Using vMic on Windows #

1. Install and open vMic Receiver.

2. Sign in with your VoiceboxMD account.

3. Keep the receiver running in the system tray.

4. Open the phone app and sign in with the same account.

5. Click into your EHR or document field and start dictating.

Windows usually does not require an extra permission step. If no text appears, make sure the correct field is selected and the receiver is still running in the system tray.

No desktop online #

For security and reliability, vMic is designed around secure, time-limited sessions. After a long idle period, overnight use, or routine cloud maintenance, the phone may say “no desktop online” even though the desktop receiver still shows a green listening status.

This usually means the desktop receiver needs to renew its secure connection with the vMic service. The fastest fix is a Daily Secure Refresh.

Steps:

1. Quit the vMic Receiver on your Mac or Windows computer.

2. Open vMic Receiver again.

3. Confirm the receiver status returns to green or cyan.

4. Open the phone app again if needed.

5. Start dictating.

Best Practices #

– Start each workday by opening the desktop receiver fresh and close after each session.

– Click into the correct field before speaking.

– Speak punctuation when you want it.

– Use “next tab” to move through forms quickly.

– Keep your phone unlocked and the vMic app open while dictating.

– Do not dictate sensitive text until the phone and receiver both show connected status.
