Using VoiceboxMD on iPhone and iPad

VoiceboxMD for iOS is designed to help you create, manage, and share notes effortlessly. Follow this guide to explore the app’s features:

Getting Started #

Once you log in to VoiceboxMD on your iPhone or iPad, you’ll see four main options,

  1. Notes
  2. VoiceNote
  3. Templates
  4. Recordings

All your data on the iOS app is synced with the cloud, allowing you to securely access notes and templates from your PC or Mac.

Templates #

The Templates (1) segment lets you create blueprints of a note or snippets for quick note creation. You can insert these templates into notes directly from the Notes section (2), saving time and improving your workflow.

Examples include: 

  • SOAP note templates for medical workflows.
  • Office addresses or signatures can be inserted into notes easily.

Notes #

In the Notes section, you’ll find all your dictations and transcribed notes. Notes created on your mobile device are automatically accessible on your computer via the VoiceboxMD PC or Mac client.

Voice Recorder #

If you prefer recording audio and transcribing it later, the built-in Voice Recorder is the perfect tool. Here’s how to use it:

  1. Click the Recordings option at the bottom to start recording. (1)
  2. Click the Microphone icon at the bottom. (2)
  3. Once finished, click the Tick icon on the top
  4. Swipe left on the audio file to:
    • Rename the recording (use an appropriate name that ensures privacy; avoid using the full name of the patient).
    • Send the audio for automatic transcription by tapping the Transcribe button.
    • After an audio send for transcribing, the label will show as Pending in orange color.

Transcription Tip: Automatic transcription typically takes 10–15 minutes.

Reviewing Transcriptions #

After transcription is complete:

  1. Go to the Notes section.
  2. Check the newly transcribed note, which will now be available for review or sharing.

Creating Notes Through Dictation #

You can also create notes directly through dictation. Here’s how:

  1. Tap the VoiceNote icon to start a new note. (1)
  2. Click on the dictating area (2) and click on the Microphone icon to begin dictating (3). The Mic will be pulsed, showing dictating.
  3. Once you’re done, add a title (4) and save the note(5). It will appear in the Notes section.
  4. You can use Siri’s built-in keyboard for dictation, offering a quick and convenient way to capture your notes.

All your notes and templates are available on multiple platforms, including PC, Mac, and mobile. This seamless integration ensures you can manage your work wherever you are.
